# IPM documentation done right
Integrated Pest Management (IPM) isn't just a green marketing term
anymore. For commercial accounts — schools, hospitals, food service,
manufacturing, senior-care facilities, HOAs — an IPM paper trail is
a **hard requirement** for the contract.
If you're a pest control company still trying to win commercial work
with a residential paper log, here's the documentation stack that
makes the difference.
## What "IPM documentation" actually means
- **Inspection logs**: pest activity observed per visit, per zone
- **Threshold decisions**: when treatment is warranted vs monitoring only
- **Method selection**: mechanical (traps, exclusion) → biological
(bait stations) → chemical (targeted, low-toxicity first)
- **Product application logs**: EPA reg #, product name, active
ingredient, concentration, target pest, area treated (sq ft),
volume applied
- **Applicator credentials**: certified applicator, category, license
number, expiration
- **Site-specific mitigation plan**: exclusion recommendations,
sanitation improvements, structural fixes
- **Trend analysis**: pest activity graphs per zone over 6-12 months
- **Communication log**: what facility manager was told + when
## The digital workflow
### Setup per commercial account
- Zone the facility on the mobile app map (kitchen, dry storage,
loading dock, exterior perimeter, roof, HVAC penetrations)
- Add device inventory: rodent bait stations #1-24 with GPS pins,
insect monitors #1-12, exclusion device inventory
- Attach applicator license PDF to the property record
### Every service visit
- Tech loads the property → each zone auto-lists on the checklist
- For each zone: pest observed (none / low / medium / high),
activity signs (droppings, gnaw marks, live specimens, larvae),
device status (empty / partial / full / needs replacement)
- If treatment applied: product SKU (loaded from your service catalog),
EPA reg #, volume/concentration, target species, area treated
- Photos: any activity, any structural issue that needs fixing
- Facility manager sign-off on the mobile app
### Monthly commercial reporting
End of month, export the last 30 days for each commercial account as
a single PDF:
- Executive summary (activity trending down/up per zone)
- Every service visit's zone-by-zone log
- Every chemical application with EPA reg #
- Photos of any activity or structural concerns
- Recommendations (exclusion, sanitation)
- Applicator credentials
